SEARCH FOR EXECUTIVE ASSISTANT
A company active in the field of public works with a strong focus on road infrastructure in Central Africa is looking for an Executive Assistant whose missions and tasks are as follows:
1- Administrative management
- Ensure the physical and telephone reception of internal and external interlocutors
- Make appointments
- Dealing with postal and electronic mail as well as telephone calls
- Follow the circulation of signatures
- Manage electronic agendas and control deadlines
- Enter, format various documents (letters, emails, reports, etc.), reproduce and distribute them
- Process and disseminate internal and external information
- Respond to requests for information from other departments and from outside
- Select and disseminate information internally and externally
- Organize meetings and their logistics, write records of decisions
- Participate in the administrative, financial and/or human resources management of the structure by applying the dedicated procedures
- Organize, feed, update databases relating to administrative management
- Feed dashboards, make extractions in information systems
- Administration
2-Administrative and logistical organization of meetings
- Manage the material and logistical organization of meetings
- Ensuring the sending of agendas, invitations
- Check the regularity of meetings: quorum ….
- Participate in sessions, take notes, write minutes, minutes of meetings and distribute them, finalize the drafting of minutes, minutes of meetings when these are outsourced
3-Constitution and preparation of documents
- Establishment of various administrative documents (memos, invitations, appointments, circular notes, request for explanation, etc.) in French;
- Establishment of various administrative documents (memos, invitations, appointments, circular notes, request for explanation etc …) in English and French languages
- Development/design of tools for operationalizing procedures;
- Ideal candidate profile:
- Master’s degree in language / modern letters / management of administrative affairs
- Perfect command of French and English.
- Experience of 06 years minimum is necessary, acquired in part or in full in a company or a project as an executive assistant.
- Perfect use of Office Word, Excel, PowerPoint
- Informational and regulatory monitoring
- Event planning
- Good legal knowledge
- Staff administrative management
Place of work: Yaoundé.
